Privacy policy

How OMADA handles personal data when you contact us or use this website.

This notice explains the information we receive, why we use it and how you can exercise your rights. It applies to this website and requests for OMADA’s language services.

Who is responsible for the data?

The controller for enquiries through this website is OMADA – D. Moutafis & Co., 61 Panepistimiou Street, Athens 105 64, Greece. For a privacy request, write to info@weareomada.eu. Please identify the request clearly; we may need to verify your identity before disclosing or changing personal data.

What information do we receive?

When you email or call us, we receive the details you choose to provide. An active quote form can collect your name, email address, company, phone number, language pair, service, timing, word count, project notes and files you attach. A submitted document may itself contain personal data about you or other people. Share only what is necessary for us to assess the work, and contact us first if the material requires special handling.

Hosting and email providers may process technical information needed to deliver a request, such as IP address, time, browser or delivery logs. The indicative price calculator runs in your browser; it does not need to transmit the entered word count to produce a range.

Why do we use it, and on what basis?

We use your contact and project information to answer an enquiry, assess files, prepare a quotation, arrange and deliver a service, and keep necessary business records. Depending on the interaction, the basis is steps requested before a contract, performance of a contract, our legitimate interest in responding to a business enquiry, or a legal obligation such as accounting records. We do not treat the acknowledgement that you have read this notice as consent to unrelated marketing.

If a project begins, the relevant agreement and project instructions govern how client content is handled, including where OMADA acts as a processor for a client. We do not make decisions about you solely by automated means through this website.

Who can receive the information?

People at OMADA who need the information for the enquiry or project may access it. Hosting, email and IT providers may process it for us under appropriate arrangements. If you commission a service, assigned translators, revisers or specialist partners may need access to the relevant materials under confidentiality and project instructions. We may disclose information when law requires it. We do not sell your personal data.

Transfers, storage and security

Services supporting email, hosting or project work may involve processing outside Greece. Where a transfer outside the European Economic Area requires safeguards, we use an applicable lawful mechanism, such as an adequacy decision or contractual protections, as appropriate to the provider and service.

We apply access controls and proportionate technical and organizational measures for the type of work. No internet transmission can be guaranteed risk-free. Please do not send sensitive records until the required channel and handling have been agreed.

How long is it kept?

We keep enquiry data while it is needed to answer the request and assess a potential engagement, then for the period needed to manage follow-up, establish or defend claims, and meet applicable legal obligations. Project and accounting records can require different periods. The actual retention period depends on the relationship, the document type and the relevant obligation; you may ask us about a specific record.

Files uploaded through the quote form are handled as temporary server uploads and attached to the message sent to our company mailbox; the form does not create a permanent upload folder. Copies can remain in email systems, backups and technical logs under their respective retention settings. A short-lived file containing a hashed (non-reversible) form of your IP address may be created to prevent repeated submissions.

Your rights

Subject to the conditions and exceptions in data protection law, you may request access, correction, deletion, restriction, portability or object to processing based on legitimate interests. Email info@weareomada.eu and tell us what you are seeking. If you believe your rights have been infringed, you may complain to the Hellenic Data Protection Authority.

Cookies and browser storage

The site remembers your cookie choice and, only if you opt in, your language preference. We do not use analytics or advertising cookies. If we decide to introduce them, we will ask for your consent first and update this notice and our Cookie Policy.

Our hosting provider may keep technical access and security logs independently of browser cookies, to protect the website against misuse.

Updates and contact

We will update this page when our website or processing changes materially. Last updated: 31 October 2026. For questions about this notice, contact info@weareomada.eu.
